HubSpot Integration Instructions

Learn how to set up the Product Signals HubSpot integration: generate a HubSpot app API key, select company and deal fields to sync nightly, and install the HubSpot app.

Sync your HubSpot companies and deals into Product Signals, and show Product Signals data on your HubSpot records.

The HubSpot integration has two parts, both set up by an admin:

  • Sync (required). Save a HubSpot API key, pick the company and deal fields you want, and Product Signals imports your customers and those fields every night.

  • The HubSpot app (optional). Install it to see Product Signals data inside HubSpot.

You will need super admin access in HubSpot to create the API key.

1. Open the HubSpot integration in Product Signals

  1. Go to Settings > Integrations.

  2. Find HubSpot and select it. The panel opens with the setup steps.

2. Generate a HubSpot app API key

Product Signals reads your HubSpot data with a private app token, which HubSpot generates for you.

  1. In HubSpot, click the settings gear in the top navigation bar.

  2. In the left sidebar, go to Integrations > Private Apps.

  3. Click Create a private app.

  4. On the Basic Info tab, name the app something recognizable, such as "Product Signals", and add a short description. The logo is optional.

  5. Open the Scopes tab and click Add new scope.

  6. Search for and check the scopes listed below, then click Update.

  7. Click Create app in the top right, then Continue creating in the confirmation dialog.

  8. On the app's Auth tab, click Show token, then Copy.

Scopes to select

  • crm.objects.companies.read - read company records to match your customers

  • crm.objects.deals.read - read deal records

  • crm.schemas.companies.read - list your company properties in the field picker

  • crm.schemas.deals.read - list your deal properties in the field picker

The token starts with pat- and is only shown when you ask for it. Treat it like a password. If you ever rotate it in HubSpot, paste the new one into Product Signals using Show/Edit.

If you do not see Private Apps

HubSpot has been moving these screens around. Depending on your portal, the same token lives under Development > Legacy apps > Create legacy app, or you may be offered a Service Key under Integrations > Service Keys instead. Either credential works as long as it carries the read scopes above. If neither appears, you are likely not a super admin on the account.

3. Save the key and choose your fields

  1. Back in the HubSpot panel, paste the token into the API key box and click Save.

  2. The Configure Sync section unlocks and loads your HubSpot properties into two field pickers.

  3. Pick up to 3 Account/Company fields. For example: client_type, industry, lifecyclestage.

  4. Pick up to 5 Opportunity/Deal fields. For example: acv_amount, competitors, deal_source, product_risk, dealstage.

  5. Click Save. Your customers and the fields you chose begin syncing.

Both field selections are optional. If you save without picking any, your customers still sync, just without the extra HubSpot context on them.

Records sync automatically every night at 11pm PT. To change your selection later, click the x on a field to remove it, add another, and click Save again. Changes apply on the next sync. Use Run manual sync if you would rather not wait for tonight.

Syncing only some records

By default the sync pulls your HubSpot companies and their associated deals. If you need to narrow that, for example to one pipeline or one customer type, use the Filter synced records link in the panel to send us the criteria. We respond within 24 hours.

4. Install the HubSpot app (optional)

The sync brings HubSpot data into Product Signals. The app does the reverse: it puts Product Signals data on your HubSpot records, so your sales and CS teams can see and interact with signals without leaving the CRM.

  1. In the HubSpot panel, under 2. Enable Product Signals in Hubspot, click Install HubSpot App.

  2. HubSpot opens its authorization screen. Choose the account you want to connect.

  3. Review the requested access and click Connect app.

  4. You are returned to Product Signals, and signal data starts appearing on your HubSpot company and deal records.

Installing the app is separate from the sync. You can run the sync without it, and you can install it at any time later.

Common questions

How often does the data refresh?
Records sync automatically every night at 11pm PT. Run manual sync pulls fresh data on demand.

Do I have to select fields?
No. Both field pickers are optional. They add HubSpot context to the customers Product Signals already syncs.

Why can't I add a fourth company field?
The limits are 3 company fields and 5 deal fields. Remove one with the x to free up a slot.

Does Product Signals write anything back to HubSpot?
The sync is read only. If you want signal data visible in HubSpot, install the HubSpot app in step 4.

My HubSpot token expired or was rotated. What now?
Click Show/Edit next to the API key field, paste the new token, and click Save. Your field selections are kept.

Can I disconnect HubSpot?
Click Remove in the top right of the HubSpot panel. Reach out first if you want to know what happens to already-synced data.
