Customizing your Meeting Intelligence bot (name + image)

Personalize the name + image your Meeting Intelligence bot uses when it joins your calls — set both from Global Settings.

When Meeting Intelligence is enabled, a bot joins your scheduled meetings to capture the recording + transcript (which then power your optional auto-generated Pulse + follow-up notes). By default, that bot appears as Notetaker with the standard ClientSuccess image — but you can swap in your own name + image so the bot feels like a natural part of your team in front of customers.

💡 Good to know: These settings are org-wide + set once by an admin. Whatever you configure here applies to every Meeting Intelligence bot across your account (not per-user).


Finding the settings

Both options live together in one place.

  1. Open Global Settings — click the settings icon, then head to the Meeting Intelligence section.

  2. Locate the bot options — you'll see the controls for the bot's custom name + custom image grouped together.


Setting a custom bot name

The bot's display name is what shows in the participant list when it joins (ie the label other attendees see in Zoom, Google Meet, or Teams). Out of the box this reads Notetaker.

To set your own name:

  1. Enter a name in the Custom Bot Name field — type whatever you'd like the bot to be called (ie "Acme Notetaker" or "Acme Success Bot").

  2. Save — the new name applies to bots joining meetings going forward.


Uploading a custom bot image

The bot image is the tile/avatar that appears when the bot is in a meeting. By default it uses the standard ClientSuccess image (which includes a short recording disclaimer — more on that below). You can replace it with your own.

  1. Turn on "Use custom image" — flip the toggle on. When it's off, the bot falls back to the default ClientSuccess image.

  2. Upload your image — an uploader appears. Select an image that meets the requirements below — we'll validate the dimensions + file type on upload + flag anything that doesn't fit.

  3. Check the preview — a preview shows exactly how your image will look as the bot's tile. You can replace or remove it anytime.

  4. Save — your image is stored + used the next time a bot joins a meeting.

💡 Tip: Turning the toggle off reverts to the default image without deleting your uploaded one — so you can switch back + forth without re-uploading.

⚠️ A note on the recording disclaimer: the default ClientSuccess image includes a small line letting participants know the meeting is being recorded. If you upload your own image, that disclaimer won't carry over automatically — so consider building a short notice into your own image, or make sure participants are informed another way.


Common questions

Can each user set their own bot name or image? No — these are org-wide settings configured by an admin. Whatever you set applies to every Meeting Intelligence bot across your account.

Do changes apply to meetings already on the calendar? Your name + image apply to bots joining meetings going forward. A meeting already in progress won't change mid-call.

What if my image doesn't meet the requirements? The uploader validates dimensions + file type as you upload + shows an inline message if something doesn't fit, so you can swap in a corrected file before saving.

How do I go back to the defaults? Clear the Custom Bot Name field + save it empty to restore "Notetaker," + turn off "Use custom image" to restore the default image (your uploaded image is kept in case you want it back).
