Every task still has one assignee: the person who owns it. Now you can also add collaborators, everyone else who's helping. Collaborators are kept in the loop by email and show up right next to the assignee in your task lists.
Who can use this
Vendor users who can edit a task can add or remove its collaborators. Clients can change collaborators only on client tasks.
Anyone who could be assigned the task can be a collaborator. The assignee can't also be a collaborator.
Clients can't collaborate on vendor tasks, and vendors can't collaborate on client tasks.
Add collaborators to a task
Open the task to bring up the task drawer.
In the Collaborators field, below Assign to, pick one or more people. The list leaves out the task's assignee.
Each collaborator appears as a chip in the field. Click the x on a chip to remove that person.
See collaborators in your task lists
A Collaborators column now sits right after Assignee on Starting Line and the project task list. Each cell shows up to three avatars, then "+N". Hover over the avatars to see every name.
Find tasks you're collaborating on
The Assigned To filter is now called Task User.
Open Filter on Starting Line or the project task list.
Under Task User, pick a person.
Use the Assignee and Collaborator chips to choose what matches: both (the default), assignee only, or collaborator only. Turn both off to see tasks that person isn't on.
Tip: the My Tasks preset still means tasks assigned to you. To include tasks you're collaborating on, use the Task User filter, then save it as your own preset.
Emails collaborators get
An email when they're added to a task (this follows the New task assignment email preference).
Emails when the task's status changes and when someone comments on it.
Nobody is emailed while a project is still in Planning (Draft).
Good to know
Adding someone as a collaborator adds them to the project. A stakeholder is promoted to contributor.
If a task is hidden from someone, they can't be a collaborator. Hiding a task removes anyone it's now hidden from.
Making a collaborator the assignee, or removing them from the project, removes them as a collaborator.
Collaborators don't count toward workload, capacity or budget. Those still use the assignee only.
Integrations (Jira, ServiceNow, Salesforce) and CSV export still sync only the assignee.
Collaborators copy over when you create a project from a template or duplicate a project. Bulk edit can't change collaborators yet.
