Choose exactly who can't see a task: everyone outside your company, just your client, or specific third-party companies on the project.

Who can use this

Anyone on your team (the vendor) who can edit tasks in a project or template. Your team always sees every task. Clients and third-party users never see the visibility setting, and hidden tasks don't show up for them at all.

Visibility options

  • All non-vendor users: hides the task from your client and from every third-party company. This is the same as the old "Visible only to vendors" setting.

  • Your client: hides the task from the client company only. Third-party companies on the project can still see it.

  • A third-party company: hides the task from that one company. Pick as many as you need.

Hide a task

Step 1: Open the visibility menu

Open the task, then click Visible to all in the top-right corner of the task drawer. The Task visibility menu lists every option for this project: All non-vendor users, your client, and each third-party company.

Step 2: Choose who can't see the task

Check each company the task should be hidden from. Changes save right away. The button changes to Hidden from with each company's badge, and the bottom of the menu confirms the setting, for example "Hidden from Northline Freight". On a project with lots of companies, use the search box to find one quickly.

Step 3: Check hidden tasks in the task list

A hidden task shows a crossed-out eye icon next to its name. Hover over the icon to see who it's hidden from.

Step 4: See changes in the Activity Feed

Every time someone hides or unhides a task, the project's Activity Feed logs who did it and which companies it affected.

To make a task visible again, open the menu and uncheck the company. When nothing is checked, the button reads Visible to all.

Tips and limits

  • Templates: templates don't have third-party companies, so you can only hide a template task from all non-vendor users or from the client. The setting carries over to projects created from the template.

  • Copies keep the setting: duplicating a task or project, or saving a project as a template, keeps each task's visibility.

  • Bulk edit: select several tasks and use Hide from all non-vendor users (Yes or No). Bulk edit only offers the all-users option and only works on your team's internal tasks. To hide tasks from a specific company, use the task drawer.

  • Tasks that can't be hidden: client-facing tasks, and tasks with subtasks assigned to an outside company. Subtasks follow their parent: if the parent is hidden, the subtask is too, and its own setting is locked.

  • Organization is locked while hidden: you can't change a task's Organization while it's hidden from anyone. Set it back to Visible to all first.

  • Sign-off: hidden tasks can't require client sign-off.

  • What "vendor" means: the vendor is your company, the one that owns the Baton workspace. "Non-vendor users" means your client's users plus any third-party company users on the project.
