Project Notes is now a list instead of a single shared note. Each note shows who wrote it and when, and every add, edit and delete is recorded in the project's Activity feed.
Who can use this
Add notes: vendor users. Read-only and limited vendor users can't add notes, and neither can client users.
Edit or delete a note: the person who wrote it, or a workspace admin. Everyone else sees other people's notes as read-only.
Clients: clients can read notes only while the project's Notes card is visible to them. If you hide the card from clients, they won't see notes on the dashboard, in the Activity feed, or in the Project List's notes column.
Add a note
Open a project and go to Overview → Summary. Find the Project Notes card. Notes are listed newest first, each with its author and date.
Click Add Note, type your note, then click Save. You can use headings, bold, lists and links. A note needs some text before it can be saved.
Edit or delete a note
Click a note on the card to open it. If you wrote it, or you're a workspace admin, click the text to edit it and then click Save.
To remove the note, click Delete in the top right, then confirm. Deleted notes can't be recovered.
See note changes in the Activity feed
Go to Overview → Activity. You'll see a row for every note that was added, edited or deleted. Hover over the speech-bubble icon to read the note's text.
Tips and limits
Your existing note is still there. Each project's old note became the first entry in its list, credited to the person who last saved it and dated when it was last saved. Empty notes were removed.
Places that show a single note now show the newest one. This includes the Project List's notes column, its CSV export and the status report email.
The status report email is the exception to client visibility. If you choose to include the note when you send a status report, the client sees it even when the Notes card is hidden.
Zapier: two new triggers, Note added and Note edited, let you send notes to other tools. A save that doesn't change anything doesn't fire Note edited. There's no trigger for deleted notes.
Zapier Trigger FAQ:
Not instant. These are polling triggers, so a note reaches the downstream app (eg, Slack) after a delay of 1 to 15 minutes, depending on the vendor's Zapier plan.
No backfill. When a Zap is turned on, Zapier marks every existing note as already seen, so old notes don't flood the channel.
Each edit posts again. Every edit is a new item, so three quick edits post three messages.
Deletes don't trigger anything. The ticket listed a delete trigger as an open question, and we didn't build one. A deleted note stays in the downstream system (eg, Slack).
