Importing Data via Template

Our contract/subscription/revenue data import template can be used to compile internal subscription data for an import into ClientSuccess. Once completed, please send it to your CSM or Support via our in-app Help button on the bottom right of any screen.

The most recent version of the data template has a number of enhancements:

1. Support for one or many products per contract
2. Support for custom stage names to indicate Booked, Lost, or Forecasted revenue
3. Contract linking to see the impact of renewals on your book-of-business
4. Support for custom ARR and MRR amounts for each contract

Prerequisites

• Your product list with product codes must be entered in ClientSuccess before contracts are imported
• Clients in ClientSuccess must have an External ID or the client name in your file must match exactly the client name in ClientSuccess
• Contract owners must be set up as users in ClientSuccess with a unique email addresses or external ID

Please be sure to note the type and formatting field requirements in the tables below.

Required fields

• External Client ID
  Must exactly match the Client ID in the external ID field on the client record. Use external client ID OR Client Name.
• Client Name
  Format requirements: Recommend that name exactly match the Client name in ClientSuccess
• Contract ID
• Contract Name
  Contract Label
• Stage
  Opportunity Stage Name e.g. Closed Won, Closed Lost, etc. Must match a value in ClientSuccess Global Settings > Field Settings > Stage Name
• Line Number
  Must be a number. Line numbers are typically used to represent a contracted product.  Line numbers for a particular contract should start at 1 and increase incrementally. A single contract ID can not have any duplicate line numbers.  
• Product Code
  Must match a product code in ClientSuccess
• Quantity
  Format requirements: Must be a number
• Item recurring
  Format requirements: "TRUE" or "FALSE"
• Start Date
  Format requirements: YYYY-MM-DD 
• End Date
  Format requirements: YYYY-MM-DD 
• Amount
  Format requirements: No decimals
  

Optional Fields - Contract

• Product Name
  Format requirements: Recommend that name must exactly match a ClientSuccess product name
• Booking Date
  Close date.  Format requirements: YYYY-MM-DD 
• Booked By - Email
  Must match a user email address in ClientSuccess
  
• Description
• Forecast Type
  Must match a value in ClientSuccess Global Settings > Field Settings > Forecast Type
• Type
  Must match a value in ClientSuccess Global Settings > Field Settings > Type
• Probability
  Format requirements: Number. No decimals
• Note
  Format requirements: (none)

Optional Fields - Product

• Assigned ARR
  Force an ARR value instead of using ClientSuccess calculation. Format requirements: No decimals
• Assigned MRR
  Force an MRR value instead of using ClientSuccess calculation. Format requirements: No decimals
• Item Description
  Provide an alternative description of the line item instead of the product name
  

Optional Fields - Contract Links

• Renewed By - Contract ID
  Contract ID used to establish child relationship. Must match a Contract ID in ClientSuccess. 
• Renewed By - Name
  Contract name used to establish child relationship. Must match a Contract name in ClientSuccess.
